Trade show shipping is not just about getting equipment to the venue. Panels, fittings, lighting and graphics may be spread across several packs; if installers cannot find components in sequence, time is lost. Since the same packs may be used on the return trip, durability, readable labels and resealing should be designed together.
Match the component inventory to the installation sequence
Match each panel, profile, fitting and graphic component to a part code and installation step. Give breakable, scratch-sensitive or electrically connected parts separate protection and compartments. The outside list should match the current contents.
Do not place heavy base plates on lightweight graphic panels. If several cartons or cases are used, keep their numbers consistent across the dispatch list, vehicle load plan and installation plan.
Close the case for reuse
Choose an outer carton or case for the contents; protect panel edges and faces separately. Carton tape can close carton flaps, while printed tape may repeat a visible pack identity or direction cue. Outer tape does not replace a transport strap or internal restraint.
Put labels on a flat outer-pack surface, not directly on a finished panel. Remove or cover labels and handling marks from the previous event before return. On reusable cases, test adhesive residue and label adhesion on a sample surface.
Close the loop with a return-shipment damage and count record
Before closing cases at the venue, recount the post-install inventory and note damaged corners, missing fittings, cables or graphic panels. Show the contents list, return route and responsible contact on the outer label.
Send a representative pack back to the warehouse and inspect for panel shift, crushed edges, label loss and opened closures. ISTA recommends selecting packaging tests with the actual distribution environment in mind; consider the event transfer, storage and last-mile route together.

Frequently asked questions
Can exhibit panels travel in one case?
They can if dividers suit their dimensions, weight and surface risks; mark the installation sequence and item count separately.
Does printed carton tape restrain a case?
No. Tape closes carton flaps or identifies a pack; it does not replace straps or internal restraint.
What should happen to old labels on the return trip?
Remove or fully cover previous-route labels to avoid misdirection, then place the new route label on a readable flat surface.
